THE BOOK

One record per plan, and the year it owes.

The facts with the date each came in, who holds each role, the roster in counts, the fees in three parts, and a dated line for each thing that happened on the plan.

The plan's facts live in four systems, and one of them is a PDF.

The recordkeeper portal

assets and the roster, behind a login that times out.

The adoption agreement

eligibility, the match, vesting, on pages 14, 22 and 27.

The CRM

the contacts, and nothing about the plan.

Open a plan and its year is on it.

  • The facts, with the date each came in — and from where
  • Who holds each role — the sponsor's signer, the committee, the TPA, the recordkeeper, the auditor
  • The roster in counts — eligible, participating, the rate
  • Fees in three parts — recordkeeping, advisory, investment expense

History.

One dated line per thing that happened, newest first, with what is coming up on top.

A line opens in place to the agenda, the minutes or the draft.

The plan file.

What is filed, what is current, and what is missing.

  • A row opens the document — under the row, with its category, date, who filed it and its size
  • Add a document — drop a file, title it, file it under a category the firm already uses
  • It can answer an obligation — when the category matches, it is the evidence and the obligation closes
  • Missing stays missing — a category with nothing in it says so

The quarterly review, scored against the statement in force.

Twenty sheets in the order a committee reads them: the summary, the market quarter, the plan, the peers, the allocation, the returns, the statement, the monitoring record, the considerations, the watch list, what changed, the decisions, the signatures and the disclosures.

  • Scored against the statement in force — authored, versioned and ratified on the plan

  • Fees the sponsor can read — three parts, against plans the same size
  • A sheet with nothing on file — prints the one line saying what is missing

The deck arrives on the plan.

The assistant builds the same review as a deck and files it on the plan, named for the plan and the quarter. The review is the document; the deck is that document as slides.

Deck requested · the assistant files it on the plan when it is built

Fifteen plans, or four hundred.

The list finds as you type, groups fold to "N more", and the counts read in thousands. Each plan's review is scored from its own lineup before anybody opens it.

Questions about the record.

Where do the plan facts come from?

Recordkeeper feeds where they publish, the plan's own documents, and the one-time import.

Who can change a fact?

Whoever the role allows, and the change is written down with their name.

Can we print a plan's year?

Yes: the exam file for its obligations, the review for its quarter.

One record per plan. Ten things a day. A book that is current by a date.
